Roles                                       Guidance
          Facilitators      •   Summarize group insights: Reflect on the group’s discussion,
                                including main outcomes, main agreements and differences,
                                or any emerging themes to support the preparation of meeting
                                reports/briefs.

                            •   Confirm accuracy: Coordinate with notetakers to ensure
                                captured outcomes accurately reflect the discussion’s essence
                                without personal bias.


                            •   Provide constructive feedback: Deliver feedback to the
                                convenor or curator regarding the facilitation experience,
                                emphasizing successes and proposing enhancements for
                                upcoming dialogues.

          Notetakers        •   Finalize notes: Review and refine the notes promptly, fill
                                in outcome-recording templates, ensuring clarity, neutrality,
                                and accurate representation of key discussion points and
                                stakeholder perspectives.

                            •   Submit timely: Submit notes/filled-in templates to facilitators
                                and curators on time and assist them in preparing meeting
                                reports/briefs.







                          Essential Principles of an Effective Dialogue:


              1.  Thorough administrative preparation to ensure all relevant provincial technical
                 members can attend and contribute.
              2.  Diverse participant representation so that every aspect and perspective of FST
                 is considered and discussed.
              3.  Well-trained facilitators before the dialogue begins.
              4.  Optimal group size—around 30 participants is recommended.
              5.  Breakout discussion groups of 8–12 people each.
              6.  A designated overall lead to keep the agenda and dialogue on track.
              7.  Effective  logistics  and opportunities for  participant  interaction to  promote
                 productive discussions.
